Single-click export of complete, chronological compliance files in a secure, tamper-evident format.

System Architecture

Engineered for Daily Depot Operations.

Module 1

30-Second Driver Walkaround

Operates natively within Chrome or Safari on any smartphone. Zero app store downloads or credential issues.

Runs on the phones your drivers already carry. No rugged tablet. Fully functional offline across metal workshop bays and rural blackspots; logs auto-sync upon reconnection. Live map uses the phone and WhatsApp — no box in the cab.

Module 2

Workshop Defect Management

Defects are categorised strictly by statutory RSA severity: Minor, Major, or Dangerous (Mandatory Grounding).

Closed rectification workflow: mechanics sign off repairs digitally before vehicles can be cleared for dispatch.

Module 3

NCT, CVRT, MOT, licence, CPC

Irish plates show the Check My Vehicle record: make, model, colour, NCT or CVRT, motor tax. British plates show the full DVLA Vehicle Enquiry record on the vehicle sheet: make, colour, fuel, engine, MOT, tax, V5C and the rest of that lookup. Every live plate is read again on a loop. One licence search on Drivers: Irish 9-digit stores the NDLS statement PDF; a UK photocard is read from DVLA Driver View and listed on that driver. 30-, 14-, and 7-day WhatsApp alerts fire before they expire.

Last-known depot is the GPS pin from the daily check, plus the live pin while the driver app is open. Insurance dates stay on the same board.

Module 4

One-Click RSA Audit Pack

Compiles tamper-evident, chronological vehicle dossiers structured specifically for roadside inspections and formal RSA premises audits.

Instant roadside proof: drivers display completed, time-stamped checks directly to Gardaí on screen. Export your complete compliance history at any time, even if you cancel. Defect and maintenance records stay for the two-year S.I. 348/2013 window while you subscribe.

One platform · one login · one record per plate

Check, download, analyse, track, maintain, prove.

Every walkaround, defect and renewal date writes to the same audit-ready record for each vehicle. No switching between a check app, paper sheets and a servicing spreadsheet. Built around Irish RSA and CVRT obligations — not imported UK templates. When the RSA calls, the binder is already assembled.

Walkaround checks

The daily RSA check, on the phone

The right Schedule 1 checklist loads for the asset — HGV, bus, van, trailer. Pass or fail each item, photograph the fault, sign, submit — under a minute, gloves-on. Works offline in the yard and syncs when the phone is back online. Every failed item becomes a tracked fault before the vehicle leaves.

Maintenance & defects

Faults tracked to closure

Every failed check becomes a fault ticket — reported, assigned, resolved — categorised by statutory RSA severity: Minor, Major or Dangerous (mandatory grounding). Mechanics sign off the repair digitally before a vehicle clears for dispatch, and the full trail is kept for the two-year S.I. 348/2013 window.

Compliance & renewals

Never miss a test date

NCT or CVRT and tax from Check My Vehicle on Irish plates, MOT and tax from DVLA Vehicle Enquiry on British plates, plus the PMI and other dates you type, on one planner with 30-, 14- and 7-day WhatsApp alerts.

Live map & tracking

Where the fleet is — honestly

A live map from the phone while the driver is on shift and the app is open — one tap to start, one to end, no box in the cab and no background tracking of a personal phone.

One record · the RSA audit pack

The binder, already assembled

Because every check, defect and repair writes to the same per-vehicle record, one click prints the compliance and maintenance story for a vehicle — time-stamped, ready for the roadside or a premises audit. Export your history anytime, even after you cancel.

Leasing & contract hire

Leasing desk

For leasing firms and contract hire fleets. You write the daily check into the master hire agreement, start the hire from your desk, and the hirer opens their own account. You see one line per hired plate per day: checked, missed, or not safe. Nothing else in their account is visible to you — no photos, no location, no drivers.

A missed check is a default you can serve notice on. The specimen clause is on the desk.

No charge to the leasing firm. The hirer pays the seat above, directly, and keeps the account when the hire ends.

One standard. Zero software bullshit.

The regional transport sector runs on hard work, high-value iron, and tight margins. Meanwhile, legacy software vendors treat you like a cash cow—hiding behind “Contact Sales” forms and raising your rates every year. Hardware is optional here. The live map runs on the phones you already have.

Sarsfield is built to break that cycle.

  • No Sales Reps: You don’t need a demo. You need software that works out of the box.
  • No App Stores: Runs instantly via secure magic links on any driver’s phone.
  • No free trial: Email info@sarsfield.ie within 30 days of the first payment for the software fee back.

Operator desk Live

On the yard floor

Walkarounds drivers actually complete.

A Schedule 1 check in Chrome or Safari — or the same survey on WhatsApp. Defects need a photograph and typed details. Voice notes on WhatsApp are for questions. Magic link. No App Store.

  • GPS pin when the driver starts the daily check — one fix, not a live stream from the cab
  • Works without reception — checks save locally across steel sheds and rural depots
  • Photograph and typed details on every defect, hashed onto the vehicle record
  • One signed check per vehicle per Dublin day — offline first, sync when the signal returns

Where the check was done

A GPS pin on the daily check. Live location from the phone.

When the driver starts the walkaround, the phone records where they are standing. On shift, the phone shares live location while the app is open, and the operator's Live map shows it, with a tap to end the shift. There is no box to fit and no background tracking of a personal phone.

Questions operators actually ask

Frequently asked questions

Is there a free trial?

No. €19.99 for a car, van or LGV. €29.99 for a bus or HGV. Including VAT. 12-month rolling contract. Email info@sarsfield.ie within 30 days of the first payment for the software fee back.

We lease vehicles out. What does the leasing desk show us?

One line per hired plate per day: checked and the time, missed, or not safe to drive. That is all. The hirer's photos, locations and drivers stay in their own account, in their own database, and no leasing query touches it. The hirer holds the subscription and pays us directly on the seats above, so you are not billed and you are not in the middle of it. End the hire and the lines stop; the hirer keeps their account.

Do we need hardware in the cab?

No box in the cab. Walkaround, defects, and the live map run on the phones you already have. For buses and HGVs we loan one Bluetooth tachograph card reader for every five of those seats.

Is this a live GPS tracker?

The daily check takes one GPS pin. While the driver app is open on shift, the phone updates the map. There is no second-by-second box in the cab.

Where do NCT, CVRT and MOT dates come from?

Irish plates: Check My Vehicle when you add the plate, and again on a loop — make, model, colour, NCT or CVRT, motor tax. British plates: DVLA Vehicle Enquiry the same way, and the vehicle sheet lists the full record (fuel, engine, MOT, tax, V5C, export mark, and the rest of that lookup). A plate with no record says so. Your WhatsApp gets a text at 30, 14 and 7 days, and when a date is overdue. The statutes behind those dates are on RSA and DVLA law.

Which RSA and DVLA laws does this follow?

Ireland: the 2012 CVR Act and S.I. 348/2013 for the daily walkaround and two-year defect records, S.I. 347/2013 for CVRT, S.I. 415/2017 for NCT, the 1952 motor-tax Act, CPC and driving-licence regulations, plus EU 561/2006 and 165/2014 for hours and tacho. Britain: DVLA for tax, registration and licences; DVSA’s Guide to Maintaining Roadworthiness and the operator-licensing Acts for the walkaround. Each one is linked on RSA and DVLA law.

What is the contract?

12-month rolling, billed monthly. It rolls for another 12 months unless you email info@sarsfield.ie at least 30 days before the current period ends. You can still add, swap or drop seats during the term.

Do we get a tachograph reader?

Yes. One mobile Bluetooth tachograph card reader for every five bus or HGV seats on the record. Vans do not count. Four of those seats get none; five get one; ten get two. The reader is loaned for the term and returned if the count drops a band, or when the contract ends.

Is bank payout connected?

Not yet. IBAN and payout details are pending. Until they are in, we do not move money from this site.

How are driver licence and CPC tracked?

One search on the Drivers board. Irish 9-digit: the driver sends the NDLS Driver Statement PDF from ndls.ie; the desk stores that file and reads categories, dates and points. There is no NDLS login. British photocards: type the 16-character number; DVLA Driver View fills photocard, licence type and status, every category, CPC LGV and PCV, tacho cards, and endorsement codes and points. That record is listed on the driver and stored as a PDF. Address, date of birth, gender and name from that lookup are not kept. The same dates appear on Compliance with 30-, 14-, and 7-day alerts.

What is a guest pass?

For an agency driver or weekend subbie. You issue a 48- or 72-hour link from Drivers. They can file the daily check on that phone. They cannot open the operator desk. When the timer ends the pass drops; the checks stay. It is not a monthly seat.

Do you flag ferry rest and inspector packs?

GNSS hops between Irish Sea ports are marked as a likely ferry or train, with a draft Article 9 note. It is not a signed declaration — attach the ticket. The RSA pack on Export is 56 days at the roadside and 12 months on a premises visit. Hand over the file; do not log an inspector into the desk.

Do you score fuel burn or write demurrage invoices?

No. Those need a fitted tracker, CAN-bus, door sensors, or a fridge draw. This product uses the phone while the driver app is open.

What is the monthly seat?

€19.99 for cars, vans and LGVs. €29.99 for bus and HGV. Including VAT. 12-month rolling. One tacho reader for every five bus or HGV seats. No free trial. Email info@sarsfield.ie within 30 days of the first payment for the software fee back.

Why a photo as well as typed details?

A photo shows the part. Typed details are what the driver saw, in their own words, time-stamped onto the defect. A WhatsApp voice note is for a question to the operator, not for logging the fault. Paper slips lose both.

What happens to records if we cancel?

Email info@sarsfield.ie within 30 days of the first payment for the software fee back. After that, ending the subscription is by the same email at least 30 days before the current 12-month period ends. Dropping a plate is not ending the agreement. Export the dossier before you leave.
